Introducing Simplified Patient Login: New Password Reset Feature for Admins
We are introducing a new enhancement in CareMonitor that simplifies patient login and helps reduce time spent by clinicians and administrators on password support.
Why This Matters?
Some patients, particularly those less familiar with technology, have found the login and password reset process challenging. This often results in clinicians and hospital admins needing to spend extra time helping patients over the phone, time that could be better spent on patient care.
To address this, a new password reset feature is now available via the CareMonitor Portal. This gives admins the tools to support patients quickly, securely, and with less hassle.
Key Features
1. Password Reset via the CareMonitor Portal: Admins can now view and reset patient app and portal passwords directly from the Patient Profile screen.
The key icon (Manage Patient App/Portal Access) in the patient profile provides quick access to email details, last login time, and reset options. Where to access the feature?
Clinicians can view these details, while Organisation Admins can reset, remove, or add credentials.
2. Add New Credentials: Admins can easily add new login details (email and password) for patients who need them, helping streamline onboarding without long support calls.
3. Single vs Multi-Organisation Accounts
Single Organisation Accounts: Admins can reset passwords directly.
Multi-Organisation Accounts: The system will let you know if an email is linked to multiple organisations. For security, patients will need to reset their own password in these cases.
4. Full Audit Logs for Transparency: Every password reset is securely logged, including:
Admin username/ID
Patient email and ID
Timestamp and reset source (Portal or Mobile)
Number of resets per email
Admins can obtain logs by submitting a request to CareMonitor Support.
Benefits at a Glance
Faster onboarding for patients who need extra tech support
Reduced time spent on troubleshooting by clinicians and admins
A more streamlined login experience for patients
Secure, auditable, and compliant password management
Where to access the feature?
Procedure: Resetting a Patient Password (For Organisational Admins)
This guide is intended for Organisational Administrators (e.g., Clinicians and Providers) who need to manage patient access credentials.
Accessing the Password Management Feature
- Navigate to the CareMonitor Portal: Log in with your Organisational Admin credentials.
- Locate Patient Records: From the main dashboard, go to Org → Patients.
- Open Patient Details: Select the specific patient whose password needs to be managed to open their Patient Details Page.
- Initiate Access Management: Click the Key icon (labeled Manage Patient App/Portal Access).
Setting New Credentials
Upon opening the management window, all existing credentials associated with the patient will be displayed. You have two options:
Option A: Select Existing Email: Choose one of the displayed existing emails to proceed with a password change for that account.
Option B: Create New Account: Click "Add new credentials" to establish a new set of login credentials.
Finalising the New Credentials
- If you selected "Add new credentials," a form will appear.
- Enter Details: Enter the desired Email and a new Password.
- Confirm: Re-enter the new password in the Reconfirm Password field.
- Complete: Click Submit.
⚠️ Administrative Note: This process instantly updates the patient's login credentials. No automated email or notification is sent to the patient. Admins must communicate the new credentials directly to the end user.

Frequently Asked Questions (FAQs)
Q1: Who can reset a patient’s password using this feature?
Only Organisation Admins can reset passwords, add new credentials, or remove access. Clinicians and other staff can view the option but will not be able to make changes.
Q2: Will resetting the password affect the patient’s existing data?
No. Resetting a password only updates the patient’s login details. It does not affect their medical records or any other data in the system.
Q3: Can we reset passwords for patients linked to multiple organisations?
No. For security reasons, patients with multi-organisation accounts must reset their own password. The system will automatically notify you if this applies.
Q4: Are password reset actions tracked for compliance?
Yes. Every reset is recorded in the Audit Logs, showing details such as the admin ID, patient email, timestamp, and where the reset occurred.
Q5: What if a patient still has trouble logging in after a reset?
If the issue continues, the patient can try a self-reset through the app, or admins can check the Audit Logs to confirm the reset was successful. If problems persist, please reach out to CareMonitor Support by email at support@caremonitor.com.au for further assistance.
Q6: Can admins create a new login for patients who have lost access to their old email?
Yes. Admins can use the 'Add New Credentials' option to set up a new email and password for the patient, ensuring a smooth login experience.
Q7: Is there a limit to how many times a password can be reset?
There is no strict limit, but all resets are logged and visible in the Audit Logs for compliance and review purposes.
Thank you for helping us make CareMonitor even better for our patients and teams. We are confident this update will make login management easier and improve the experience for both patients and clinicians.
Thank you,
